Job Summary:
- The Secretary to the Chief Investment
Officer (CIO) provides high-level administrative support to the
CIO, ensuring the efficient operation of the investment office.
This role involves managing the CIO’s schedule, coordinating
meetings, handling correspondence, and assisting with
investment-related tasks and projects. The secretary must be
proficient in both English and Arabic, ensuring clear
communication and effective handling of bilingual tasks.
Confidentiality, multitasking, and smooth communication within
the investment team and with external stakeholders are key
aspects of this role.
Key
Responsibilities:
Administrative Support:
o Manage the
CIO’s calendar, including scheduling meetings, appointments,
and travel arrangements.
o Screen and prioritize phone
calls, emails, and other correspondence in both English and
Arabic, ensuring timely responses.
o Prepare, edit, and
proofread documents, reports, presentations, and investment
materials in both languages.
o Organize and maintain
confidential files, records, and documents related to investment
activities.
Meeting and Communication Management:
o
Coordinate and schedule meetings, conference calls, and video
conferences for the CIO and investment team.
o Prepare
agendas, take minutes, and follow up on action items from
meetings, with a focus on bilingual communication.
o Act as
the primary point of contact between the CIO and
internal/external stakeholders, ensuring smooth communication in
both English and Arabic.
Travel and Expense
Management:
o Arrange domestic and international travel for
the CIO, including flights, accommodations, and
transportation.
o Prepare detailed travel itineraries and
manage travel-related logistics.
o Process expense reports
and ensure timely reimbursement for travel and other
expenses.
Investment Project Support:
o Assist in the
preparation and distribution of investment proposals, reports,
and presentations.
o Conduct basic research and gather
information as needed for investment decisions and
meetings.
o Maintain an organized system for tracking
investment projects, deadlines, and key deliverables.
Office
Management:
o Maintain the organization and efficiency of
the CIO’s office.
o Order office supplies and manage
inventory for the investment team as needed.
o Coordinate
with IT and other departments to ensure the CIO’s office is
fully functional and up-to-date with necessary
technology.
Confidentiality and Discretion:
o Handle
confidential and sensitive information with the highest level of
discretion.
o Ensure that all communications and
interactions uphold the integrity and privacy of the CIO’s
office.
High school diploma or equivalent required;
Associate’s or Bachelor’s degree in Business Administration,
Finance, or a related field is preferred
Experience: Minimum
of 3-5 years of experience in an administrative or secretarial
role, preferably in finance or investment-related
environments
Strong organizational and time management
skills
Excellent written and verbal communication abilities in
both English and Arabic
Proficient in Microsoft Office Suite
(Word, Excel, PowerPoint, Outlook)
Ability to manage multiple
tasks and work under pressure in a fast-paced environment
High
level of discretion and confidentiality in handling sensitive
information
